Case study

The productIn a bustling work environment, professionals and project teams are faced with a common challenge—inefficient and unproductive meetings. They struggle with creating agendas, managing tasks, and communicating effectively during crucial collaboration sessions. It is a chaotic and frustrating experience that may hinder productivity and leave users yearning for a better solution. Zipdo sets out to revolutionize the way teams collaborate, boosting productivity and transforming the meeting experience. We brought to life three remarkable functionalities which make the product a truly unique and indispensable tool for enhancing productivity and simplifying scheduling.• Easy Agenda Creation• Auto-Cancellation of meetings• Live CollaborationWe developed an intuitive and user-friendly interface allowing users to create agendas easily. The agenda creation feature includes options to add talking points, tasks, links & additional descriptions. Designers were focused on simplicity and flexibility, enabling users to create comprehensive meeting agendas within a few clicks.Auto-cancellation is a unique selling point of Zipdo - it allows users to create a logic to cancel a meeting automatically due to all agenda items being resolved ahead of time or an empty agenda. We created clear notifications and reminders that inform participants when a meeting is automatically canceled. This ensures transparency and helps users stay informed about the status of their scheduled meetings. This feature is the true time-saver for all of Zipdo’s users!Users can collaborate in real time on shared agendas, enabling seamless coordination, instant updates, and synchronized progress tracking. With features like simultaneous editing and comments, Zipdo's live collaboration fosters dynamic teamwork and boosts productivity. As a final result, the meeting agenda creation became a breeze, empowering users to structure meetings efficiently. Task management became a joy, with features that allowed for easy assignment, tracking, and prioritization. Real-time collaboration features fostered effective teamwork and knowledge sharing during meetings.Our processEL Passion was involved in the process after an initial set of workshops and user interviews had been conducted by the client internally. Their business case has resonated with users, especially those in managerial positions, and EL Passion was tasked with building the initial vision into a real product.Our process started with extracting the existing knowledge and mapping the priorities in a 2-day workshopping session with Zipdo’s founder. Once we established the core priorities for the MVP version of the product, we dedicated our efforts to precisely map out the architecture and the logic of the key modules. Zipdo is not an application with hundreds of screens, however there is a lot of underlying business logic that permeates through all modules and integrations with Google Calendar.Once we created the initial wireframes and prototypes and gathered feedback from the founder’s team, our lead product designer on the team conducted a series of usability tests with potential users of the application. The results he got caused the team to simplify a number of features to ensure users get a soft onboarding to the simplest features, before they would use the advanced ones. The user interface was designed and built using EL Passion’s very own base design system, which helped us ensure consistency and high level of accessibility. In the meantime, we were tasked with refreshing the product’s branding and layering it on top of the product.The product will shortly launch into a closed beta, with over 50 users taking it for a spin out in the real world.
